Reporting to ICT Service Delivery Manager
Purpose of Job
To assist the EDC EAD team, with the collation of hard drive and equipment information marked for decommissioning or re-use, once removed from the Data Halls.
To undertake the day-to-day activities around Morgan Stanley's disposal and re-use of its IT Assets
To be proficient in the use of a computer, particularly Microsoft Excel, SharePoint, Chrome, SHREDD Splunk, Internet Explorer and Database Inputting. ICT Hardware experience required.
Responsibilities and Duties
To provide supervision of 2 x direct reports undertaking works as per below detailed responsibilities and Duties.
To undertake the processing of all IT hardware that has been decommissioned from its operational environment including:
Removal of hard drives and other elements from equipment chassis
Ensuring all IT assets slated for disposal are held securely
To update all databases related to IT hardware decommissioning
Maintain a chain of custody as IT assets transferring through the re-use or disposal process
Preparation of paperwork required for the collection and disposal of IT assets by 3rd Parties
Participate in the collection of IT assets by 3rd Parties
Participate in the oversight of the on-site destruction of IT assets by 3rd Parties
To receive spreadsheet of both hardware and hard drive information from the EDC ICT Cabling Team of equipment that has been either decommissioned or deemed for re-use that weekend.
Upon receipt of the information update the Global SHREDD Database with the information provided.
Ensure quality / compliance of management system documentation is adhered to.
Liaise with the logistics team on any equipment being reinstalled and update SHREDD with new storage location.
To remove hard drives from various IT-Equipment, scan using handheld scanner and input information on the above listed spreadsheets and data bases.
Process Break fix items for disposal as and when they are handed over to you. Update SHREDD.
Provide auditable evidence to the client that the duties within this document have been carried out correctly.
Complete quarterly bank reports by proving the location of selected Hard Drives, provided by Risk management Team.
As and when requests are received move all end of life equipment from Reuse stores palletize and create a manifest to hand over for disposal as per above instruction.
liaise with the client EAD team to arrange onsite destruction of hard drives/Hardware, this will involve creating manifests, Creating Crates/ palletized Items to match the manifest and hand over to EAD team for disposal.
Arrange client approval for the hard drives and equipment to leave site using the client system Property Pass.
Create Service Now Request Ticket to collate all the information of the devices or hard drives being collected or destroyed on the vendor attendance.
Arrange access for the vendor engineers using E-Permit, this will require liaising with the vendor for crew names and vehicle information attending site.
Should the requirement arise, operate the onsite hard drive guillotine to destroy hard drives, ensuring the correct PPE is worn
Work closely with Risk management team and equipment owners to ensure SHREDD is up to date and equipment is not being kept on site for longer than necessary
Attend weekly SHREDD development meetings with MS tools team to discuss progression of the associated applications, input feedback and complete any needed updates/changes for EMEA.
Inform the Morgan Stanley EAD Manager of any discrepancies or irregularities in the information you have received or generated yourself in hard drive or device information.
Adhere to the rules and regulations as documented in the standards concerning Buildings and Communications rooms
Always liaise closely with the customer and promote a positive image of the company.
Ensure that the ICT Service Delivery Manager is made aware of any issues that may affect the ability to deliver the service against the agreed Service Level Agreements.
Escalate any issues or concerns related Inventory Database drive issues to the ICT Service Delivery Manager in a timely fashion.
Ensure that the ICT Service Delivery Manager is made aware of any absence or lateness as per company procedure.
Make sure all health and safety requirements are met and that any concerns or incidents are escalated to the ICT Service Delivery Manager, document any accidents that occur.
Ensure that the correct uniform, if required, is always worn and if additional items are required then notify the ICT SDM or Contract support team.
Make sure that annual leave is requested within the correct timeframes and as per company procedure.
Make sure your time sheets are completed and signed by no later than 10am every Friday and are made available for the contract support team, any overtime must be submitted via the relevant form and made available at the same time.
Ensure that emails are checked on a regular basis and actioned where necessary and completed within time
